When a Quality Claim Has a Valid Basis
A quality claim has a defensible basis when the parties have agreed on a measurable criterion, used an appropriate inspection or testing method, and have evidence showing that the lot did or did not meet that criterion. If a contract does not define quality clearly, arguments after delivery become much harder to resolve. In coffee trade, quality may concern moisture, defects, screen size, processing condition, sensory attributes, or other parameters depending on the product. The Coffee Guide emphasizes the role of specifications, contracts, and quality control in coffee transactions. A statement such as “the coffee is poor quality” is not evidence by itself. The observation has to be converted into a criterion that can be measured and compared.

Quality Parameters Should Be Defined in the Contract
The contract should identify which parameters determine acceptance, the permitted limits, the measurement method, and when the measurement is to be performed. If the parties use a reference sample, they should identify exactly which sample constitutes the agreed reference. Tolerances are particularly important for commodities with natural variation. Without a defined tolerance, a small measurement difference can become a disproportionate commercial dispute. Quality clauses should also connect to sampling and claims procedures. A parameter that is written into a contract but has no agreed method of verification still leaves a significant gap.

Sampling and Lot Testing
A test result represents a lot only to the extent that the sampling method produces a representative sample. Poor sampling can make an otherwise accurate laboratory result misleading because the sample may not reflect the entire shipment. The contract should therefore specify who samples, where and when sampling occurs, the sample quantity, sealing procedures, and, where relevant, the laboratory to be used in a dispute. Technical standards can provide useful frameworks, but the parties still need to define the contractual procedure that applies to their transaction. Naming a standard is not the same as defining the entire sampling and testing process.

Compare Results With the Agreed Standard and Reference Sample
When a quality claim is raised, the result should be compared with the exact standard agreed in the contract. If the contract sets a maximum moisture level, the question is whether the measured result exceeds that limit and whether the measurement followed the agreed method. Reference samples can help with sensory or visual assessment, but their origin, storage conditions, and date of use need to be controlled. A reference sample that has changed during storage becomes a weaker basis for comparison. The central principle is traceability: the assessment criterion should be traceable back to the contractual agreement.
Separate Quality Deviation From Transport Loss or Damage
Not every problem discovered on arrival proves that the product was already outside specification when it left the seller. Coffee can be affected by heat, moisture, water exposure, physical impact, or prolonged transit. Pre-shipment and post-arrival evidence should therefore be compared. Weighing records, inspection results, packaging photographs, container condition, and transport records can help identify when a deviation occurred. Incoterms® 2020 is relevant because the transfer of risk depends on the delivery rule selected for the transaction. A sound claim process therefore examines both product quality and the point at which transport risk passed.
Preserve the Evidence File
A strong dispute file should allow someone who was not involved in the transaction to reconstruct what happened. It may include the contract and quality annex, lot number, laboratory reports, sampling records, weighing documents, packaging photographs, transport documents, and available temperature or storage records. Evidence should carry dates and a clear connection to the relevant lot. A laboratory report with no traceable sample identification has limited value. When a dispute arises, the parties should normally follow the testing and claims mechanism already agreed in the contract rather than changing methods after seeing the first result.
What If the Two Test Results Differ?
If buyer and seller obtain different results, the first step should be to examine the sampling method, sample condition, equipment, and laboratory procedure. Only then should the parties investigate why the numerical results differ. Agreeing a retest mechanism in the contract can prevent a quality dispute from becoming an open-ended argument. The objective is not to select the test that produces the preferred result, but to apply a procedure that both parties accepted before the dispute existed.
Pre-, In-Transit, and Post-Delivery Data Must Connect
Three groups of information become much more useful when they are linked to the same lot identifier. If the pre-shipment result has no sample code, or transport documents cannot be connected to the lot, it becomes harder to determine when a deviation appeared. A strong quality file therefore needs traceability as well as volume. More documents do not automatically mean better evidence if the documents cannot be connected to one another.
Do Not Rely on a Single Result to Explain the Whole Lot
A failed sample can be an important signal, but it may not explain the entire lot if the sampling method or sample condition has not been validated. Retesting should follow the agreed procedure rather than introducing a new method simply because it produces a more favorable outcome. Quality claims are strongest when the specification, sample, method, result, and lot identity form one continuous chain of evidence. This approach also protects both parties from arguing from isolated observations. The buyer needs evidence that the delivered lot failed an agreed requirement, while the seller needs a fair opportunity to demonstrate how the result was obtained and whether transport or sampling conditions affected it. A documented procedure gives both sides the same reference point. It also helps separate a genuine non-conformity from a sampling or handling problem. The parties can then decide whether a retest, a commercial adjustment, or another contractual remedy is appropriate without changing the underlying rules after the fact. In practice, the most useful quality data is therefore not the largest amount of data, but the data that is specific, reproducible, dated, and traceable to the shipment. This is what turns a quality opinion into evidence that can be reviewed by both sides.
